Hunter Functional Health is seeking a friendly and highly organised Reception & Administration Assistant to join our growing allied health team on a part-time basis.
This is more than a reception role. You’ll be the first point of contact for our clients, supporting families throughout their healthcare journey while ensuring our clinicians can deliver exceptional care.

About the Role
Working closely with our Practice Manager and clinical team, you’ll be responsible for the day-to-day administration of the clinic, including:
Greeting clients and creating a welcoming clinic environment
Managing appointments, waitlists and clinician schedules in Cliniko
Answering phones and responding to email enquiries
Processing payments, invoicing and EFTPOS transactions
Using Cliniko to maintain accurate and up-to-date client records
Preparing client documentation and managing correspondence
Liaising with NDIS participants, families, support coordinators and referrers
Assisting with service agreements, reports and general administration
Maintaining reception, treatment rooms and shared clinic spaces
Supporting the team with general office and administrative tasks
About You
We’re looking for someone who:
Has previous reception or administration experience (allied health, medical or healthcare experience highly regarded)
Is confident using Cliniko (or similar practice management software) and Microsoft Office
Has exceptional communication and customer service skills
Is highly organised with excellent attention to detail
Can prioritise tasks and remain calm in a fast-paced environment
Works well independently while also being a supportive team member
Demonstrates professionalism, empathy and confidentiality at all times
Desirable
Experience working within allied health or medical practices
Knowledge of the NDIS
Experience with Medicare, private health claiming or healthcare billing
Current Working With Children Check (or willingness to obtain)
Prior experience using Cliniko in a clinical setting

This is a full-time on-site role as an Occupational Therapist at Hunter Functional Health.
You will work with children of all ages, helping them develop the skills they need to perform daily activities and achieve developmental milestones. Demonstrated experience working with children and experience with retained reflexes, neuro-motor development, ASD and ADHD highly desirable.
As an Occupational Therapist, you will be responsible for evaluating patients' functional abilities, developing personalised treatment plans, and implementing therapeutic interventions.
You will collaborate with other healthcare professionals to provide integrated care and support patients' recovery and rehabilitation process.
Your day-to-day tasks may include conducting assessments, reporting, collaboration with other health professionals, school visits and providing education and support to clients and their families on site as our fully equipped clinic and activity space.

developmental delays
sensory processing issues
neuro-motor development
retained neonatal reflexes integration
emotional regulation
self-care skills
fine motor skill development
core strength, posture and coordination
planning and executive function skills
social skills

Ideal Candidate:
Occupational Therapy skills, including assessment and intervention techniques
Knowledge of Medicine and Rehabilitation practices
Excellent Communication skills to effectively interact with patients, families, and healthcare professionals
Experience in Pediatrics is preferred
Strong problem-solving and critical-thinking abilities
Empathy and compassion for patients
Ability to work collaboratively in a multidisciplinary team
Bachelor's degree in Occupational Therapy
Valid licenses, registrations and insurances to practice in NSW
